Mortgage Documentation Officer

DUCA is looking for a Mortgage Documentation Officer to join our growing team!

Job Purpose & Summary

Reporting to the Senior Manager, Credit Funding & Administration, the Mortgage Documentation Officer works closely with the Retail Credit Underwriters and Funding Officers to ensure files are accurate and complete. The Mortgage Documentation Officer conducts quality control checks for accuracy on commitments and instructions and is responsible for liaising with underwriters and branches to clarify conditions.

Key Accountabilities & Duties

Loan Submissions and Condition Requirements

  • Receiving files from underwriter/Retail Credit Associate
  • Reviewing deals on DUCA’s Loan Origination System (LOS)
    • Conditions confirmed as correct
    • Recommend changes to conditions, if required
    • Confirm rate charged against Rate Sheet
    • Discuss corrections and change requests with underwriters
  • Entering loan submissions onto First Canadian Title portal

Commitments and Supporting Documents for New Deals

  • Preparing all commitments and amendments based on approved conditions
  • Preparing and forwarding Instructions to Solicitors, if required
  • Preparing and up-loading supporting documents for different types of products
  • Reviewing and up-loading First Canadian Title documentation onto LOS for in house products

Teraview

  • Conducting sub-searches for Transfers, Multi’s and Re-Advances
  • Review searches to authorize recommended approvals by underwriters
    • Issues with searches are discussed with underwriter to determine new process
  • Preparing Acknowledgements for registration
    • Up-load documents to release to branches

Multi Mortgages, First Canadian Title Deals, Re-Advances Funding

  • Booking mortgages and screening, if required

Other Duties

  • Calling branches, maintain filings, preparing paperwork and documents
  • Preparing letters for Covenant Releases
  • Preparing Assumption Agreement documentation
  • Preparing Restructure Agreements on Flex Product
  • Other sundry duties/projects assigned from time to time.
  • Review, audit and track final reports for funded deals

Occupational Experience & Education Requirements

  • 2-3 years of related experience within credit administration
  • Some post-secondary education in a related field
  • Previous experience handling mortgage documentation

Knowledge, Skills & Attributes

  • Knowledge of residential mortgage products and the fulfillment process
  • Strong interpersonal and communication skills
  • Excellent organizational, time management and prioritization skills
  • Proficiency in MS Office suite of products
