HR Operations Analyst

DUCA is looking for a HR Operations Analyst to join our People & Culture team on a 12 month contract!

Job Purpose & Summary

Reporting to the Manager, HR Operations, the HR Operations Analyst coordinates all day-to-day activities related to employee learning and the associated Learning Management System (LMS) while also being the primary support for all data collection and management activities across the P&C team. With accountability for preparing human resources related reporting, this position will regularly update DUCA’s organizational charts, compile headcount & activity reports, as well as support the production of workforce demographic and other compensation related reporting.

Key Accountabilities & Duties

  • Coordinate all employee related LMS activities including employee onboarding, training assignments, offboarding, invoicing etc.; act as the LMS system expert and provide end-user support to employees, liaising with the third-party vendor as required
  • Monitor mandatory training completions and follow-up with employees as needed; produce quarterly completion status reports and support annual board reporting on training completions
  • Lead the roll-out of all annual mandatory training and attestation projects including developing workplans, liaising with internal and external partners, testing LMS files, monitoring and reporting on employee completions
  • Coordinate employee registrations, follow-up, and reporting for non-LMS learning initiatives
  • Coordinate, create, and distribute all P&C internal surveys; manage the P&C Survey Monkey account, associated response related data, and reports
  • Prepare regular human resources related reporting including organizational charts, employee moves and headcount reports, workforce demographic, compensation, and other ad-hoc reports as required
  • Identify process improvement and automation opportunities to help streamline reporting where possible
  • Support the design and delivery of repeatable analysis and reporting that combines data sources
  • Support the broader P&C team with various data collection, management, and analysis needs, including during the following activities:
    • Annual performance review cycle
    • Annual compensation cycle
    • Annual pay equity maintenance
    • Market compensation and benefit survey completions
    • Employee engagement survey roll-out and reporting
  • Develop and document internal standard operating procedures / processes to ensure consistent quality
  • Participate in the testing and implementation of system enhancements and conversions, where necessary
  • Cross-train and back up other positions as needed

Occupational Experience & Education Requirements

  • Post-secondary education in business, finance, human resources, or a related discipline
  • 2 to 3 years’ work experience in a similar role
  • Exposure to human resources related technologies an asset (LMS, HRIS etc.)

Knowledge, Skills & Attributes

  • Expert level MS Excel skills
  • Intermediate level PowerPoint skills
  • Familiarity with other MS Office applications, Visio, Adobe
  • Advanced critical thinking, analytical, and problem solving skills
  • Strong communication skills
  • High attention to detail when collecting, documenting, and recording data and other information
  • Well versed in data management & analytics
  • Strong planning and organizational skills with the ability to concurrently manage multiple projects/initiatives
  • High level of integrity, ethics and professionalism; proven ability to maintain sensitive and highly confidential information
  • Ability to work in a dynamic environment, under pressure and with time-sensitive deadlines
  • Collaborates well in a team environment
