DUCA is looking for a Wealth Administrator to join our growing team!

Job Purpose & Summary

Reporting to the AVP, Wealth Management, the Wealth Administrator will fulfill day-to-day operations regarding all aspects of Wealth Management including onboarding, offboarding, reporting and regulatory requirements, and additional administrative support as necessary. This position is also responsible for providing administrative support to the VP, Wealth Management and DUCA’s network of Branches as required. 

The Wealth Administrator skillfully and tactfully manages internal and external stakeholder relationships, fulfills critical, time-sensitive processes, and provides ongoing support to DUCA’s team of Wealth Advisors and related parties. As a support to the Wealth Management team, this position helps develop and refine administrative and reporting processes, including processes related to compliance and audit.

Key Accountabilities & Duties

  • Ensures timely registration of all Aviso applicants, providing regular reporting to all applicable parties and escalates to AVP, Wealth Management when there are delays
  • Ensure timely reassignment of Wealth Advisor clients whenever an Advisor exits the organization
  • Provide regular reporting related to all areas of Wealth Management, including reports associated with client management, account management effectiveness, and reporting that provide Wealth Management leadership with insights that enable them to coach their teams to maximize product sales, retention, and fee income
  • Make recommendations to improve all aspects of Wealth Management and Specialized Lending administrative and reporting processes
  • Use a team-player approach with third party contacts, following up regularly, building relationships over time, and learning how representatives of each organisation prefer to correspond (email, fax, mail, etc.)
  • Complete specific compliance and audit related duties as assigned
  • Review and ensure compliance with Policies and Procedures (P&P), escalating to AVP, Wealth Management when compliance gaps are identified

Occupational Experience & Education Requirements

  • University degree preferred or relevant work experience.
  • 2 years of wealth management experience in either administration or sales
  • 1 year of administration experience
  • Experience in wealth reporting preferred
  • 1 year of Retail banking experience

Knowledge, Skills & Attributes

  • Knowledge of wealth products
  • Knowledge of MFDA & IIROC dealers and wealth advisory firms would be an asset
  • Strong computer skills; proficient in Microsoft Office Suite of products
  • Strong customer service, relationship building, problem solving, and follow-up skills
  • Effective team player with ability to work well in a group setting
  • Ability to reconcile data, identify root causes of problems, recommend approaches, and determine potential solutions
  • Detail oriented, organized, and analytical with the ability to work quickly and accurately, with strong attention to detail, and investigative skills
  • A proactive, self-manager able to work on multiple initiatives at the same time and manage competing commitments and deadlines
  • Strong interpersonal and oral/written communication skills
  • Ability to work independently, handle multiple and conflicting priorities

Working Conditions

  • Normal office environment. Additional time may be required to meet deadlines and project deliverables.
